This Privacy Policy explains how Vontico ("Vontico Cleaning," "we," "us," or "our") handles personal information when you use our website or request our residential cleaning services. It describes what we collect, why we collect it, who we share it with, and the choices you have. This policy reflects how the website and services actually operate today.

Information We Collect

Information you provide when requesting a quote. When you fill out our online quote request form, we collect the information you enter, including your first and last name, phone number, email address, ZIP code, and details about your home and cleaning needs such as approximate square footage, number of bedrooms and bathrooms, the type of cleaning you are interested in, desired frequency, preferred service date and time (if you choose to provide these), whether you have pets, any optional add-on services you select, and any additional notes you include.

Attribution information. When you use our website, we may collect information about how you found us, such as marketing campaign parameters (commonly known as UTM parameters, including source, medium, campaign, content, and term), the page where you entered the site (landing page), the referring website, and the page on which you submitted the form. This information is kept in your browser's session storage for your current visit and is included with your quote request so we can understand which channels bring visitors to our site.

Payment-related information. For customers who schedule recurring service and authorize automatic billing, we use Stripe to process and store payment method information. Payment card details are provided directly to and handled by Stripe; we do not store your full card number. We retain references (such as a customer identifier and, where applicable, a payment method reference) in our systems to support billing for the services you authorize, as described in our Terms of Service.

Technical and log information. Our website is hosted by Netlify. Like most websites, standard server logs may include your IP address, browser and device type, pages requested, and similar technical information. We may also use your IP address on a transient basis for security and abuse prevention, such as limiting the number of quote requests submitted from the same address.

How We Use Your Information

We use the information we collect for the following purposes:

  • Responding to your quote requests and contacting you about them;
  • Providing, scheduling, and administering cleaning services, including managing customer accounts;
  • Processing payments, including the automatic recurring billing you authorize for recurring service;
  • Sending transactional and service-related communications, such as confirmations, appointment reminders, and payment notices;
  • Security and fraud prevention, including spam protection, rate limiting, and preventing abuse of our quote form;
  • Operating and improving our website, including understanding how visitors find and use it.

To help operate and improve our website, we use Google Tag Manager to manage and deploy website tags and technologies, as described in the Service Providers and Cookies sections below.

Service Providers

To operate our website and deliver our services, we work with the following service providers, which may process personal information on our behalf:

  • Netlify – website hosting and infrastructure;
  • Supabase – database and storage for quote requests, customer, and payment records;
  • Stripe – payment processing and secure storage of payment methods;
  • Mailgun – delivering transactional email, such as confirmations and notifications;
  • Google – providing Google Tag Manager, which we use to manage and deploy website tags and technologies;
  • Google Fonts – serving fonts used on our website.

We use Google Tag Manager ("GTM") to manage and deploy tags and website technologies on our website. GTM is a tag-management system that helps us implement and manage analytics, advertising, and other website technologies. The GTM container itself does not necessarily collect or determine the information processed by every tag deployed through it; the information collected depends on the specific tags and services configured within GTM. Where such tags are configured and enabled, they may set cookies or use similar technologies. Google is the third-party provider of the GTM service. How We Share Information

We share personal information with the service providers described above as necessary to operate our website and provide our services (for example, delivering your quote request to our team or sending you the confirmation emails you expect). We do not sell your personal information, and we do not share it with third parties for their own marketing purposes.

Cookies, Session Storage, and Tracking

Session storage. To preserve how you found our website across your visit, we store attribution information (UTM parameters, landing page, referring site, and lead source) in your browser's session storage. Session storage is temporary, lasts only for your current browsing session, and is not used for advertising.

Cookies. The public site itself does not directly set advertising cookies, but tags and technologies we manage through Google Tag Manager (as described in the Service Providers section above) may, when configured and enabled, set their own cookies or use similar technologies. Our staff uses a private administrative dashboard to manage quote requests and customers; if you are a member of our team who signs in to that dashboard, a secure session cookie (vontico_admin_session) is set to keep you signed in. This cookie is set with security flags (HttpOnly, Secure, SameSite) and is not used on the public site for visitors.

Google Tag Manager and tracking. We use Google Tag Manager to manage and deploy tags on our website. Google Tag Manager is a tag-management system; it may load third-party tags or technologies (such as analytics or advertising tags) when those tags are configured and enabled within it. The tags and services that Google Tag Manager deploys may, in turn, use cookies or similar technologies. Please see the Service Providers section above for more information.

Data Retention

We retain quote request information, customer information, and payment records in our systems for as long as is reasonably necessary to operate our business and provide services to you. We have not yet established a formal, written retention schedule specifying exact time periods for deletion of the information we collect. Determining and implementing specific retention periods is a business and legal decision that has not yet been made. If you have questions about how long your information is kept, please contact us.

Your Rights and Choices

You may ask us to access, correct, or delete the personal information we hold about you, and to limit certain uses, by contacting us using the details below. Where applicable law, such as the California Consumer Privacy Act (CCPA/CPRA), provides you with specific rights (for example, to know, access, correct, or delete personal information, or to opt out of certain processing), we will honor valid requests consistent with that law. We do not sell your personal information. If you make a request, we may need to verify your identity before acting on it. You can also manage or delete cookies through your web browser's settings, and you may contact us at any time if you have questions about the tags and technologies described in this policy.

Data Security

We take reasonable measures to help protect the personal information we collect. These include transmitting data securely over HTTPS, keeping administrative credentials and service keys server-side, applying server-side validation and spam-protection measures (such as a honeypot field and rate limiting), using security flags on the admin session cookie, and relying on Stripe to handle payment card data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Changes to This Policy

We may update this Privacy Policy from time to time. The current version will always be posted on this page with its effective date. Please review it periodically.
